Guidelines for Creating a Departmental Web Site

Departmental sites may be created by any academic or administrative department, center or group. The request process is described in the procedures section.

Approved Internet Use includes:

  • Educational - to enrich teaching and learning at Bentley by expanding the availability of course material, providing an avenue for instruction that extends beyond the classroom and offering a means to connect with educational resources on and off campus. (Course sites should be set up using Blackboard, administered by the ATC.)
  • Promotional - to promote Bentley to national and international audiences. (Sites that are deemed mission/marketing critical are housed on www.bentley.edu and are created/maintained by web services; the content is written, edited and updated by the marketing and communication department.)
  • Administrative - to improve and support the daily operations of the college.

Bentley Standard Template

  • All Bentley web sites are developed using a Bentley Standard Template (to maintain Bentley 'branding' and a common look and feel). The template includes the specifications for the width of the pages contained on the site, the top and left navigation, and the footer.
  • The template contains one page for each major section of the proposed site. A major section is defined as pages that are linked to from the left-side navigation system (buttons on the left side of each page).
  • The Bentley Standard Template is created and maintained by the web services department. The top and left navigation, and the footer, may not be altered in any way by anyone other than a web services employee. If changes are needed to the top or left navigation, or the footer, a request is made to the web services department.

Content

  • All content must conform to the Bentley Ethical Computing Code.
  • Content is the responsibility of the departmental PageMaster, who must keep it current. Consistent review of each departmental site, by the PageMaster, is necessary to ensure that the content continues to be relevant, accurate and current, and that links remain active.
  • Scripting languages are prohibited on extranet web sites.
  • Periodically, web services will review departmental sites as part of an overall web site quality assurance activity. If sites are determined to need attention (e.g., the web services QA process uncovers broken links, inaccurate or outdated information, inappropriate or non-optimized graphics, etc.), the PageMaster will be notified. If help is needed to retify the problem, please contact the Help Desk.
  • Web services reserves the right to take action (i.e., remove the site and/or notify the head of the department) if the requested changes are not made within a reasonable amount of time, or if sites are not properly maintained. In these cases, the PageMaster will be notified prior to removing the site. Every effort is made to help the PageMaster accomplish the necessary tasks so that it does not become necessary to remove the site.

Responsibilities of the PageMaster
As described in the individual sections of this site, the overall responsibilities of the PageMaster are listed below. PageMasters may request additional training by e-mailing ga_helpdesk@bentley.edu.

  • Keep the content of the web site current and accurate.
  • Keep the directory on the server free of out-of-date pages/files/images.
  • Maintain the sercurity of their Collage account 
  • Ensure that all faculty/staff/students who help to maintain the site are fully trained. Group training (to include the PageMaster and anyone else who assists with the site) is available and encouraged. Requests can be made by e-mailing the Bentley Help Desk.

Expected PageMaster Capabilities
In order to fully meet the responsibilities of PageMaster for a Bentley web site, the following basic capabilities are expected and can be attained through client services training:

  • Working knowledge of Collage content management system
  • General knowledge in writing/editing and of the Bentley-specific standards.
  • Content input and maintenance.
  • Image optimization and placement.
  • Working knowledge of Form Builder.
